These Terms and Conditions ("Terms") govern your use of our website https://www.travelcoffee.in, any related mobile or digital applications, and any services offered by Travel Coffee, including travel bookings, customer support, and curated experiences (collectively referred to as the "Services").
By accessing or using the Services, you agree to be legally bound by these Terms. If you do not agree to these Terms, you must not use the Services.
In these Terms, the terms "Company," "we," "our," or "us" refer to Travel Coffee, operated by the legal entity registered under GST number 02LUJPS0673R3ZO. The terms "you," "your," or "user" refer to any individual or entity using our Services.
These Terms apply to all users of the Services, including but not limited to customers, travelers, partners, vendors, and browsers of our website.
Eligibility:
- You must be at least 18 years of age and possess the legal authority to enter into binding agreements to use the Services.
- If you are using our Services on behalf of an organization or legal entity, you represent and warrant that you are authorized to accept these Terms on their behalf.
- These Terms constitute a legally binding agreement between you and Travel Coffee.
2. User Account & Registration
2.1 Account Creation
To access certain features of our Services, including but not limited to booking travel packages or saving itineraries, you may be required to create an account. By registering, you agree to provide complete, accurate, and up-to-date information. Failure to do so may result in suspension or termination of your account and access to our Services.
You are solely responsible for:
- Maintaining the confidentiality of your login credentials (username, password, OTPs)
- All activities occurring under your account, whether authorised or unauthorised
- Immediately notifying Travel Coffee of any suspected unauthorised access, security breach, or misuse of your account
Travel Coffee will not be liable for any losses or damages resulting from your failure to comply with these obligations.
2.2 Account Restrictions
You may not:
- Create more than one personal account without permission
- Use another person’s account without explicit authorization
- Assign or transfer your account to another person or entity
- Register using false information or on behalf of someone else without authority
We reserve the right to:
- Refuse registration
- Suspend or terminate any account at our discretion
- Require additional verification where necessary for fraud prevention or compliance
2.3 Account Security
We implement reasonable measures to protect account data. However, you acknowledge and agree that:
- Internet-based services are inherently insecure
- Travel Coffee is not responsible for third-party access to your account that results from your failure to secure login information
If you believe your account has been compromised, you must notify us at support@travelcoffee.in without delay.
2.4 Identity & Verification
In some cases, we may require identity verification (e.g., passport, Aadhaar, PAN) for:
- Booking international or regulated services
- Partnering as an affiliate, vendor, or content creator
- Resolving disputes, refunds, or cancellations
Failure to comply may result in a denial of service or account restrictions.
3. Booking Services
3.1 Nature of Services
Travel Coffee provides curated travel experiences including but not limited to hotel stays, transportation, sightseeing tours, activities, and travel consultations. In most cases, Travel Coffee acts as a facilitator or intermediary between you and third-party service providers (“Suppliers”), such as hotels, tour operators, transport vendors, activity hosts, or guides.
You acknowledge and agree that:
- Bookings made through our platform may involve services delivered by third-party Suppliers.
- Travel Coffee does not own or operate hotels, airlines, or transport services unless explicitly stated.
- The responsibility for the quality, safety, legality, and fulfilment of third-party services lies with the respective Supplier.
3.2 Booking Confirmation
- A booking is considered confirmed only after receipt of full or partial payment (as applicable) and issuance of a written confirmation (email, WhatsApp, or SMS).
- Travel Coffee reserves the right to refuse, cancel, or reschedule bookings at its sole discretion, including in the event of incorrect pricing, non-payment, force majeure, or suspected fraud.
- It is your responsibility to verify the accuracy of all booking details (travel dates, number of guests, room category, pickup points, etc.) upon confirmation.
3.3 Communication & Itinerary Sharing
- All official communication including confirmation vouchers, invoices, itineraries, and cancellation updates will be sent via your registered email or WhatsApp number.
- Travel Coffee is not responsible for missed communication due to incorrect contact details or unread messages.
3.4 Booking Amendments
- Amendments to bookings (change of date, room type, etc.) are subject to availability and approval by the Supplier.
- Additional charges may apply for any change requests.
- All amendment requests must be sent in writing to support@travelcoffee.in at least 5 working days before the travel date, unless otherwise stated.
3.5 Third-Party Terms
When you use Travel Coffee to book third-party services:
- You agree to be bound by the terms, conditions, and policies of the respective Supplier (e.g., hotel check-in rules, cancellation charges, baggage limits).
- Travel Coffee is not liable for any breach, cancellation, or inconvenience caused by a Supplier, including delays, overbooking, strikes, or force majeure.
We strongly recommend reading the individual Supplier’s terms prior to booking.
3.6 Package Inclusions & Exclusions
Each travel package lists specific inclusions (e.g., meals, transport, permits) and exclusions (e.g., entry tickets, personal expenses). It is your responsibility to review these details before making a booking. Any services not listed under “Inclusions” are assumed to be excluded.
4. Payment Terms
4.1 Payment Methods
Travel Coffee accepts payments through the following secure and authorised methods:
- Online payment gateways (e.g., Razorpay, Stripe, PayPal)
- UPI and net banking
- Debit and credit cards (Visa, Mastercard, Rupay, etc.)
- Bank transfers (only when approved in writing by our team)
We do not accept:
- Cash payments without written acknowledgment
- Direct payments to third-party accounts or field staff
- Payments via unofficial channels such as personal wallets or apps
Payments are deemed successful only upon receipt of confirmation from our authorised payment processor. We are not liable for delays or failures caused by third-party banks or payment intermediaries.
4.2 Booking Deposit & Balance Payment
Unless otherwise specified:
- A minimum advance payment (typically 25%–50%) is required at the time of booking.
- The full balance amount must be paid before the departure date, according to the timeline provided in your confirmation invoice or email.
Failure to make the full payment within the due timeline may result in automatic cancellation of your booking, with applicable cancellation charges.
4.3 Pricing and Taxes
All prices listed on our website or shared via quotation include applicable taxes unless explicitly stated otherwise.
- Pricing is dynamic and may vary depending on availability, season, or Supplier adjustments.
- Travel Coffee reserves the right to correct any pricing errors or misquotes even after a booking is made. If corrected pricing is not acceptable to you, you may cancel the booking and receive a full refund of the amount paid.

Applicable taxes are collected in accordance with prevailing Indian GST regulations.
4.4 International Payments & Currency
For users located outside India:
- Prices are typically shown in INR unless currency conversion is requested.
- International transaction charges and exchange rate differences may apply as per your bank or card provider.
- Travel Coffee is not responsible for bank fees, conversion fees, or discrepancies caused by currency fluctuations.
4.5 Refunds & Chargebacks
All refund requests are governed by our Cancellation & Refund Policy, which must be read together with these Terms.
If you initiate a chargeback or dispute a transaction without first contacting us to resolve the issue, we reserve the right to:
- Cancel your booking
- Report the incident to payment processors and blacklist the associated account
To request a legitimate refund, please contact support@travelcoffee.in with your booking reference number.
4.6 Fraud Prevention
Travel Coffee uses fraud detection tools and reserves the right to:
- Request ID or KYC verification before confirming a booking
- Cancel bookings suspected to be fraudulent, without liability
- Initiate legal action or share information with authorities in case of detected fraud
5. Cancellation, Refund & Amendment Policy
5.1 How to Cancel
All cancellation requests must be submitted in writing to support@travelcoffee.in. Cancellations are valid only once acknowledged and confirmed by Travel Coffee in writing. Requests made verbally or over unofficial channels are not accepted.
5.2 Standard Cancellation Terms
Unless specified otherwise in your confirmation voucher, the following cancellation policy will apply:
- Cancellations made more than 30 days before the travel date are eligible for a 90% refund.
- Cancellations made between 15 to 29 days before the travel date are eligible for a 60% refund.
- Cancellations made between 7 to 14 days before the travel date are eligible for a 30% refund.
- Cancellations made within 7 days of the travel date are non-refundable.
Refund eligibility may be reduced if your booking includes non-refundable third-party services.
5.3 No-Show & Same-Day Cancellation
If you fail to show up on the scheduled day of travel or cancel on the same day:
- You will not be eligible for any refund.
- Rescheduling options will not be offered.
- All advance payments made on your behalf will be forfeited.
5.4 Non-Refundable Components
Some components of your trip—such as permits, hotel bookings, flights, or third-party activity costs—may be governed by non-refundable clauses imposed by service providers. These will be clearly mentioned at the time of booking. No refunds will be issued for these components if cancelled.
5.5 Force Majeure
In situations involving natural disasters, public health emergencies, government-imposed restrictions, or other uncontrollable events:
- Travel Coffee will attempt to reschedule your trip or offer a travel credit valid for future use.
- Refunds, if any, will be subject to receipt of refunds from vendors, and are not guaranteed.
- We are not liable for any incidental costs, such as flight cancellations, accommodation loss, or personal inconvenience caused by such events.
5.6 Amendment & Rescheduling Policy
You may request to amend your booking by providing written notice:
- At least 7 days in advance for domestic travel
- At least 14 days in advance for international travel
All amendments are subject to availability and may incur additional charges. Only one amendment is permitted per booking unless otherwise approved by Travel Coffee in writing.
No amendments will be allowed for last-minute, non-refundable, or promotional bookings.
5.7 Refund Method & Timelines
If eligible, refunds will be processed within 7 to 14 working days from written confirmation of cancellation. Refunds will be issued only via the original mode of payment. No refunds will be made in cash or to any unverified third-party account.
Travel Coffee is not responsible for delays caused by banking or payment gateway systems.
5.8 Partial Use or Early Exit
In the event you voluntarily leave the trip mid-way, or skip any inclusions (meals, transfers, hotel stays, etc.), no refund or adjustment will be made for unused portions of the service.
5.9 Postponement & Credit Notes
In certain cases, at Travel Coffee’s sole discretion, we may offer you the option to postpone your trip rather than cancel. When this is permitted:
- A credit note equivalent to the amount paid (less any non-refundable costs) will be issued.
- The credit note will remain valid for up to 12 months from the date of issuance and can be applied toward a future Travel Coffee booking.
- Credit notes are non-transferable and non-refundable.
Postponement requests must be made at least 7 days before the scheduled start of the trip.
This option is generally offered for medical emergencies, government travel bans, or on humanitarian grounds, and is not guaranteed for every cancellation.
6. User Responsibilities
As a user of Travel Coffee’s services, you agree to the following responsibilities and obligations. These are essential for the smooth execution of your trip and to ensure fairness and accountability across all parties involved.
6.1 Accuracy of Information
You are responsible for providing accurate, complete, and truthful information at the time of booking, including:
- Full name as per government ID
- Correct age and gender
- Valid email and phone number
- Accurate travel preferences and special requests (e.g., dietary needs, health conditions)
Any errors or omissions in the information you provide may result in booking delays, denial of service, or additional charges. Travel Coffee will not be responsible for losses arising from incorrect user data.
6.2 Valid Travel Documents
It is solely your responsibility to ensure you carry:
- A valid government-issued photo ID for all domestic travel
- A valid passport (with minimum 6 months’ validity), visa, and any required permits for international travel
- Other necessary documents such as vaccination certificates, NOC letters, or parental consent forms for minors
Travel Coffee shall not be held liable for denial of boarding, visa rejections, immigration delays, or penalties due to improper or missing documentation.
6.3 Check-in, Pickups, and Timeliness
You must:
- Arrive at designated pickup points on time as per your itinerary
- Complete online check-ins where applicable (especially for flights, trains, or accommodations)
- Notify Travel Coffee immediately in case of delays or emergencies that may affect your schedule
Travel Coffee will not be held responsible for missed services due to late arrival or non-communication.
6.4 Behaviour & Code of Conduct
You are expected to behave respectfully and responsibly with fellow travellers, guides, hotel staff, and local communities. Unacceptable behavior includes:
- Verbal or physical abuse
- Vandalism or damage to property
- Intoxication during transit or activities
- Disruption of group experiences or failure to follow safety instructions
In the event of serious misconduct, Travel Coffee and its partners reserve the right to deny further service, and no refund shall be issued for unused portions of the trip.
6.5 Compliance with Local Laws & Customs
You are responsible for:
- Understanding and respecting the cultural, legal, and social norms of the destinations you visit
- Complying with local laws, including bans on alcohol, drugs, photography in restricted areas, or public conduct regulations
Travel Coffee will not be held liable for any penalties, arrests, or disputes resulting from your failure to observe local regulations.
6.6 Health & Fitness
By booking a trip, you confirm that:
- You are medically fit to travel and participate in the selected activities
- You have disclosed any relevant health conditions, allergies, or physical limitations that may affect your safety or comfort
We reserve the right to refuse participation in certain activities if your health condition poses a risk to you or others.
6.7 Insurance Responsibility
Travel Coffee strongly recommends that all travellers secure:
- Comprehensive travel insurance
- Health and accident coverage
- Baggage and trip cancellation insurance
Unless explicitly included in your package, Travel Coffee does not offer or manage insurance and shall not be liable for losses arising from travel risks.
7. Intellectual Property
7.1 Ownership of Content
All content available on the Travel Coffee website, mobile applications, marketing materials, and communication channels — including but not limited to:
- Text, itineraries, and travel descriptions
- Photographs, videos, and destination imagery
- Logos, trademarks, service marks, and brand elements
- Graphics, icons, button designs, and code structures
- Package names, taglines, and curated travel experiences
is the exclusive intellectual property of Travel Coffee and/or its content licensors and partners. It is protected by applicable Indian laws and international intellectual property conventions.
7.2 Limited License
Travel Coffee grants you a limited, non-exclusive, non-transferable license to:
- Access and view content for personal and non-commercial use only
- Print or download itineraries shared with you for the sole purpose of booking or participating in a trip
You may not, without prior written consent:
- Copy, reproduce, republish, download, upload, post, transmit, display, mirror, frame, or distribute any material from Travel Coffee
- Use any logo, name, or trade dress belonging to Travel Coffee for promotional, commercial, or public use
- Modify or create derivative works based on our content
- Resell, sublicense, or commercially exploit any part of the Services
7.3 User-Generated Content
If you choose to share reviews, photos, videos, or testimonials through Travel Coffee platforms (website, WhatsApp, email, Instagram tags, etc.):
- You grant Travel Coffee a worldwide, royalty-free, perpetual license to use, publish, display, edit, distribute, and promote such content for marketing and promotional purposes
- You confirm that you have the right to share such content and that it does not violate the rights of any third party
Travel Coffee may, at its sole discretion, feature, modify, or remove such content without prior notice.
7.4 Infringement & Enforcement
If you believe any content on the Travel Coffee platform infringes on your intellectual property rights, you may report it to support@travelcoffee.in with proper supporting documentation.
We reserve the right to pursue legal action in case of unauthorised use, scraping, duplication, or misappropriation of our content, brand identity, or proprietary itineraries.
8. Prohibited Conduct
By using the Travel Coffee website, booking platform, or engaging with our Services in any manner, you agree not to engage in any of the following prohibited activities. Violation of these terms may result in account suspension, cancellation of services, denial of future access, and legal action where applicable.
8.1 Misuse of the Website or Services
You agree not to:
- Access or use the Services for any purpose that is unlawful, fraudulent, or prohibited by these Terms
- Impersonate any person or entity, or falsely state or otherwise misrepresent your affiliation
- Use automated tools such as bots, spiders, or scrapers to extract content, data, or prices without written permission
- Interfere with or disrupt the integrity, security, or performance of the platform or its associated systems
- Transmit any viruses, malware, ransomware, or harmful code
8.2 Unauthorized Commercial Use
You may not:
- Reproduce, resell, or exploit any part of the Services for commercial purposes without explicit permission
- Reuse or replicate Travel Coffee itineraries, package names, trip formats, or pricing strategies on other platforms
- Attempt to reverse-engineer any functionality, algorithm, or user experience on our site

- Harass, threaten, abuse, or defame Travel Coffee team members, partners, or other users
- Use vulgar, offensive, or discriminatory language in communications, reviews, or user-generated content
- Engage in any activity that causes reputational or operational harm to Travel Coffee, its users, or its vendors
8.4 Circumventing Platform Rules
You may not:
- Attempt to bypass payment, communication, or booking processes to deal with vendors directly in breach of our terms
- Create multiple accounts to gain unfair benefits, discounts, or offers
- Falsely dispute transactions or file fraudulent chargebacks
8.5 Legal Compliance
You agree to:
- Comply with all applicable local, national, and international laws
- Not use Travel Coffee for money laundering, illegal trade, or unauthorised financial activity
Enforcement
Travel Coffee reserves the right to:
- Terminate or restrict your access without prior notice in case of policy violations
- Withhold refunds or cancel services if abuse is suspected
- Pursue civil or criminal remedies for any significant breach of these conditions
9. Links to Third-Party Sites & Services
The Travel Coffee website, mobile application, and related communication (emails, itineraries, booking pages) may contain links to third-party websites, platforms, tools, or services that are not owned, operated, or controlled by Travel Coffee.
These may include, but are not limited to:
- Hotel or activity partner websites
- Online payment gateways
- Affiliate travel tools or permit application pages
- Social media platforms or embedded widgets
- External blogs or promotional landing pages
9.1 No Endorsement or Guarantee
Inclusion of any third-party link or mention does not imply endorsement, sponsorship, or recommendation by Travel Coffee. We do not verify, monitor, or control the content, security, policies, or services offered on these external platforms.
You acknowledge that:
- Accessing third-party websites is done at your own risk
- Travel Coffee is not responsible for any loss, damage, fraud, or inconvenience arising from use of third-party services
- Any disputes or claims must be directed to the third-party provider directly
9.2 Separate Terms May Apply
When you access or use any third-party service (e.g., Razorpay for payment, hotel booking platforms, Google Maps for location), their own terms of use and privacy policies will apply — not those of Travel Coffee.
We strongly recommend that you review the applicable policies of any third-party platform before engaging or transacting with them.
9.3 Affiliate & Partner Disclaimers
Some links on our site or in our emails may lead to partner websites where we may receive a commission or affiliate credit. This does not influence our service standards, and such relationships are disclosed where required under applicable law.
10. Disclaimers & Limitation of Liability
10.1 General Disclaimer
All services, experiences, content, and offerings provided by Travel Coffee are made available to you on an “as is” and “as available” basis, without warranties of any kind, either express or implied. This includes, but is not limited to:
- Availability of packages or services
- Accuracy or reliability of content or itineraries
- Suitability of third-party providers
- Real-time price accuracy or date availability
While we strive to offer curated and verified experiences, we do not guarantee that:
- Services will be uninterrupted or error-free
- Any specific result will be achieved from a trip
- Descriptions, images, or details will always match actual experiences
10.2 Service Provider Liability
Travel Coffee acts primarily as a facilitator for travel services booked through third-party providers such as hotels, cab operators, activity hosts, and guides. We do not control these providers and shall not be held liable for:
- Changes in service quality, room conditions, or guide performance
- Delays, overbookings, cancellations, or errors by third-party vendors
- Acts of negligence, misconduct, or breach of terms by suppliers
- Loss of personal belongings, accidents, or physical harm during third-party experiences
In such cases, users are advised to raise grievances directly with the service provider. Travel Coffee may assist on a goodwill basis but does not assume legal responsibility.
10.3 Limitation of Liability
To the maximum extent permitted under applicable law, Travel Coffee (including its directors, employees, agents, and affiliates) shall not be liable for:
- Any indirect, incidental, punitive, or consequential damages, including but not limited to loss of business, emotional distress, lost profits, or missed bookings
- Damages arising from acts of nature, travel disruptions, strikes, epidemics, or weather events
- Compensation for services not availed due to customer delay, miscommunication, or failure to comply with these Terms
In all cases, the maximum liability of Travel Coffee, if any, shall be limited to the total amount paid by the customer for the affected booking.
10.4 User Assumption of Risk
By booking and participating in any travel activity through Travel Coffee, you agree that:
- All travel involves inherent risks, including environmental, health, logistical, and social uncertainties
- You voluntarily assume all risks associated with the itinerary, destination, and travel conditions
- You are solely responsible for managing personal insurance, documents, health precautions, and local compliance
11. Indemnity
You agree to defend, indemnify, and hold harmless Travel Coffee, its directors, officers, employees, agents, affiliates, licensors, partners, and third-party service providers from and against any and all claims, losses, liabilities, damages, demands, costs, and expenses (including legal fees) arising out of or in connection with:
- Your access to or use of the Services
- Any breach or violation of these Terms or any applicable laws or regulations
- Your violation of the rights of any third party, including other travellers, vendors, or service providers
- Any false, misleading, or incomplete information provided during booking or trip execution
- Any dispute or issue between you and a third-party service provider (e.g., hotels, transport, or activity hosts)
- Your failure to comply with health, safety, visa, or travel documentation requirements
- Any harm caused to property or individuals as a result of your actions or negligence during the trip
This indemnity obligation will survive the termination or expiration of these Terms and your use of the Services.
Travel Coffee reserves the right to assume exclusive defense and control of any matter otherwise subject to indemnification by you, and in such case, you agree to cooperate with us in defending against such claims.
12. Governing Law & Dispute Resolution
12.1 Governing Law
These Terms and any disputes arising from or relating to the use of Travel Coffee’s services shall be governed by and interpreted in accordance with the laws of India, without regard to its conflict of law principles.
12.2 Jurisdiction
You agree that any legal action, claim, or dispute arising out of or relating to these Terms, your use of the website, or any services offered by Travel Coffee shall be subject to the exclusive jurisdiction of the courts located in Shimla, Himachal Pradesh, India.
You further agree that:
- Travel Coffee retains the right to initiate legal proceedings in any jurisdiction if deemed necessary to protect its interests or enforce its rights.
- You waive any objection to the chosen jurisdiction, including objections based on venue or forum non conveniens.
12.3 Dispute Resolution
Before initiating any legal proceedings, both parties agree to make reasonable efforts to resolve disputes through informal negotiation or mediation. If a resolution cannot be reached within 30 days:
- Either party may pursue formal legal remedies as per the applicable law.
- Any interim relief or injunction (if required) may be sought immediately through the appropriate legal forum.

All communications, legal notices, and proceedings shall be conducted in English.

- Security, risk, or fraud prevention needs
13.2 Notification of Changes

- You may also receive an email or WhatsApp notification if you are a registered user or have an active booking
We encourage users to regularly review this page to stay informed of any changes.
13.3 Continued Use
By continuing to access or use the Travel Coffee platform or Services after such updates have been posted, you agree to be bound by the revised Terms. If you do not agree to the revised Terms, you must discontinue use of our Services immediately.
